Role Overview

Our client is seeking a detail-oriented and commercially driven Procurement Officer to support sourcing and supply management for agrochemicals and fertilizers. The role will focus on ensuring timely, cost-effective procurement while maintaining strict compliance with regulatory standards and safeguarding product quality.

Key Responsibilities

1. Procurement Planning & Execution

  • Develop and implement procurement plans for agrochemicals and fertilizers

  • Align procurement schedules with seasonal demand patterns and sales forecasts

  • Raise, process, and track purchase orders (local and international)

  • Monitor stock levels and coordinate timely replenishment

2. Supplier Management

  • Conduct supplier due diligence, including technical capability and compliance checks

  • Negotiate pricing, payment terms, and delivery schedules

  • Maintain and manage a vetted supplier database

  • Conduct regular supplier performance evaluations (cost, quality, delivery, compliance)

3. Regulatory Compliance & Quality Assurance

  • Ensure all procured products meet applicable regulatory standards, including PCPB and KEBS requirements

  • Coordinate import permits and ensure adherence to labeling, handling, and safety requirements

  • Work closely with internal teams to maintain compliance with local and international standards

4. Inventory & Demand Management

  • Collaborate with Sales and Customer Service teams to forecast demand accurately

  • Monitor inventory turnover and minimize obsolete or expired stock

  • Support stock audits and reconciliation processes

5. Cost Optimization & Budget Control

  • Identify and implement cost-saving initiatives without compromising quality

  • Monitor market trends, including global pricing and foreign exchange impacts

  • Optimize logistics and transportation costs

6. Logistics & Import Coordination

  • Coordinate import logistics, including shipment tracking and clearance processes

  • Resolve delays, discrepancies, and supply chain issues

  • Ensure compliance with importation regulations for controlled or hazardous products

  • Align delivery schedules with warehouse operations

7. Reporting & Documentation

  • Prepare periodic procurement reports (monthly and quarterly)

  • Maintain accurate procurement records and documentation

  • Ensure audit readiness and compliance with internal controls

Qualifications & Experience

Academic Qualifications

  • Bachelor's Degree in Procurement & Supply Chain Management, Business Administration, or a related field

Experience

  • 4–6 years of experience in procurement

  • Experience in agrochemicals, fertilizers, or other regulated products is an added advantage

  • Exposure to international sourcing and importation is highly desirable

Key Competencies

  • Understanding of agrochemical and fertilizer supply chains (preferred)

  • Knowledge of regulatory frameworks (e.g., PCPB, KEBS, import/export regulations)

  • Vendor management and contract negotiation

  • Inventory planning and demand forecasting

  • Experience with ERP systems (e.g., EPICOR or equivalent)

  • Strong Excel and data analysis skills
